Cloning Invoices

 

At Wise Owl Legal, we know that you are busy people and so there is an option, if you have a regular invoice that you make, to clone a previous invoice to use again.

 

Cloning of Invoices is extremely useful for Conveyancing and Fixed Fee Consultations as it allows you to use pre-prepared invoices and save time.

 

This option can only be used to clone fixed fee and recovery entries. Cloning of Disbursements and Time Entries, while possible, is heavily discouraged as they will not show up in their respective registers nor will they appear in the relevant reports.

 

To Clone an invoice, ensure that you have this ability turned on. To turn it on go to Settings > Appliance Settings > Finance and Tick ‘Allow Clone Invoice Button’ then Save the settings.

 

After you have done this, the Clone button will show up on any invoice that you have made. You can clone any invoice regardless of what status it is.

 

To Clone an invoice, go into the invoice you wish to copy and select the light blue Clone Invoice button from the top.

 

 

 

You will get a confirmation message that will ask if you want to copy the client and matter as well. These boxes are unticked by default. Make the selections that are appropriate for your invoice and then select clone invoice.

 

 

 

The new invoice will open up in a separate page for you to make any adjustments needed before you save it.
NOTE: If you do not save the invoice at this point, the copy will be deleted and you will have to start the clone again.

 

If you have disbursement or time entry items in your invoice when you attempt to copy it, the confirmation message will include a warning that advises against copying the invoice as only fixed fee and recovery lines are supported in using this method.

 

 

 

Note: If the fixed fee or recovery items are allocated to a disbursement category then they will also ensure that the warning comes up.

 

You can add disbursements to your cloned invoice after creating it. This is perfect for conveyancing tasks where you may have a set Fixed Fee and a set Time Record but the disbursement varies.

 

After creating your cloned invoice, you can choose Step 3 on the main invoicing screen (New Invoice > Step 3) and add any existing disbursements to it.
