Release Notes for Version 3.5.0

Please read the following notes about this Wise Owl release carefully before installing it.

Description

Outlook Helper Plug-In for Documents module, support basic maths in financial transactions, Trust overdraw improvements.

New Features

  • Outlook Helper Plug-In
    • Will be deployed to clients after training and validation is completed.
    • Notification / Nag message shown on Launch Pad, Document Register and Document Upload pages.
    • Numerous internal changes to support the Outlook Plug-In
  • Add support for basic maths in numeric fields (eg: 10+20)
    • Activate by typing your equation starting with "=" or "+" (eg: "=10+20" or "+10+20")
    • Use "up arrow" key to recalculate.
  • Added Document Template Preview.
  • Added Timesheet Register filter button to show today's time.
  • Improved support for editing and saving of large invoices (with over 100 line items).
  • Added support to correctly mark a Disbursement Line as "unbilled" when it is removed from an Invoice. 
  • Improved sorting of items in drop down lists.
  • Added setting to control if a Responsible Lawyer is required when creating or editing Matters.
  • Added setting to nominate a default Responsible Lawyer used when creating Matters.
  • All emails are now sent via the Wise Owl Admin Server - Wise Owl no longer requires client email account details.
  • Added setting to control which External Accounting records are posted - particularly useful during new Accounting System activation.
  • Detected Trust Receipt overdraw caused by receipt clearance and include message directing user to clear the receipt to avoid overdraw.
  • Added default trust signatory fields as system setting.
  • Added trust signatory fields to Trust Matter Transfer page.

Other Changes

  • Improved sorting and arrangement of Lists buttons and page.
  • Improved security as per Intuit security review.
    • Fixed Cross Site Scripting vulnerability.
    • Added Document Upload size and rate limits (and ways to bypass them).
    • Added validation of document type by file extension and content - so you cannot upload malicious files as a JPEG.
    • Brought default security base line up to current industry standards - versions of Internet Explorer older than 11 are no longer supported.
    • Prevent caching of privacy sensitive data, based on setting.
  • Change order of columns on Document Register.
  • Date fields will show calendar when down arrow is pressed.
  • Improve labelling of Document Metadata Save button.
  • Improve labelling of fields on New Document from Template page.
  • Added button to Invoice page to create a new Invoice.
  • Invoice line item Description field is now multi line.
  • Show warning when importing Document Pack if the Doc Group has no Matter Type - as the templates uploaded will not be usable.
  • Added list of PDF Form fields against documents, and download PDF with names stamped near each field. Prelude to supporting PDF Forms as document templates.
  • Added an option to select a default Trust Account for each user.
  • Improved QuickBooks Online linking of Invoice and Purchase Items - no longer need to have different names for an Invoice & Purchase Item.
  • Improved QuickBooks Online validation of account types - so you cannot accidently link an Income account to and Expense account against Invoice / Purchase items.
  • Improvements to QuickBooks Online integration so unimportant errors are less prominent.
  • Added instructions on how to fix common QuickBooks Online errors on the External Accounting Previous Activity page.
  • QuickBooks Online is only checked once per hour for cancelled / reversed cheques - to prevent too many requests to their API.
  • Improve error messages on Trust Transfer to General page.
  • Improvements across Register Pages to check when searching with illogical combinations of filters.
  • Disable Delete Invoice button when receipts have been applied against it - must delete receipts first.
  • Add warning on Document Register when too many documents have been selected for a Bulk Action.
  • Audit of matter visibility in drop down lists: 
    • Register pages can see all matters; archived and closed searched more slowly.
    • Documents pages can see closed matters, to allow documents to be added after a matter is closed.
    • Financial data entry pages only see open matters.
  • Receipts may be applied to Approved Invoices via Excel Imports to assist data migrations.
  • Document Groups now have own page to allow more functionality.
    • Cannot remove a Document Group if there are Document Templates associated with it.
  • Allow changes to your IP address whithin the trusted list of IP addresses - should reduce the number of "garbled login" errors.
  • Remove all overdraw errors from occuring with Transit Funds - this is not possible to overdraw as funds are never banked.
  • Tweak fields reset after Document Create button is clicked.
  • Confirmation is now required when changing the Primary Client of a Matter.
  • Add message describing purpose of Contact Relationships tab.
  • Changing the Recovery Item field no longer overwrites amount, quantity and notes fields.
  • Added new Primary Client filter to Trust Register.
  • Always show the Summary by Fee Earner report against Invoices, even if it is not Approved or Confirmed.
  • General improvements to layout of Matter Create and Edit pages, including allowing more Fee Earner users to be set against the matter.
  • Add validation error for duplicate Trust Cheque numbers.
  • Moved QuickBooks Online company details to tab on QuickBooks Online settings page - to detect if connection to QuickBooks Online is working.
  • All validation error messages are logged for improved diagnostic and troubleshooting by Wise Owl helpdesk.
  • Improvements to deployment scripts for new Wise Owl databases.
  • Hide EFT fields on Trust Transit transactions.

  • Invoice report stored proc new field: AmountPaidIncThisInvoice
  • CustomerStatement stored proc new fields: General and Trust back account details
  • Gemma to make futher notes if needed

Bugs Fixed

  • Fixed allowing merging contacts into themselves.
  • Fix potential bugs when creating Trust Accounting transactions when multiple people are creating transactions at the same time.
  • Fix validation errors for Contact Address, Phone and Email where not highlighting fields correctly.
  • Fix error when importing Document Pack if document file name contains invalid characters.
  • Fix validation error on Contact External Accounting Name does not disappear.
  • Fix incorrect calculation of tax amount against Adjustment Notes.
  • Fix Matter Document folder not created when importing matters from excel spreadsheet.
  • Fix Document Template folder not always created.
  • Remove unsupported SMS code option for two-factor authentication.
  • Fix incorrect wording for "Print Transfer Report" button on Trust Transfer.
  • Fixed several minor spelling errors.
  • Fix incorrectly detecting duplicate Document Templates when templates are named the same in different Doc Groups.
  • Fix Document Register fields sorting - some fields did not sort correctly, others are unsortable and are now removed.
  • Fix incorrect permissions for Document Template usage on Document Template Register.
  • Fix accidental submission of New Invoice page when changing the page size - affects large invoices.
  • Fix incorrect sort order defined for Contact Address, Phone and Emails on Excel Import - could also affect reports which depend on the sort order.
  • Fix reverting to plain text formatting when mail merging a document with formatting on the merge field.
  • Fix not checking for duplicate contacts by name when importing via Excel.
  • Fix error where username and password is remembered by web browsers - eg: on Trust Reversal approval, and Change Password pages.
  • Fix exception message when previewing a Document which is not a valid docx file.
  • Fixes to reset script for External Accounting system - used when changing Accounting Systems.
  • Fixed Timesheet data entry errors correctly shown against the "!" icon.
  • Fix QuickBooks Online tax calculation issue when multiple lines present on a Disbursement - caused by different tax calculation and rounding algorithms used in QuickBooks Online and Wise Owl Legal.
  • Fix Create Document From Template page to reset Originator, Owner, Keywords and Template fields after document(s) are created.
  • Fix calendar / datepicker control to use "PgDn" button instead of "3" on numeric keypad.
  • Fix Trust Receipts are cleared at the scheduled clearance date rather than right now - otherwise causes incorrect overdraws for back dated trust transactions.
  • Fix bug where a Trust Cheque Reversal incorrectly shows the Print EFT Advice button.
  • Fix bug triggered by re-ordering and removing Contact address / phone / email fields.
  • Fix bug caused by not entering all Trust Account prefix fields.
  • Fix incorrect validation error message when creating a new Adjustment Note due to sub-cent rounding errors.
