How to Most Effectively use WOL

The Wise Owl has a few handy tips to ensure you get the most out of the software, in order to maximise the productivity within your business!

  1.  Where possible use keyboard shortcuts

  2. Embrace the tab key! When entering data try to use the mouse as little as possible to avoid missing fields and to ensure information fills correctly. 

  3. Press the down arrow to bring up pick lists

  4. Control the number of tabs open as to not get lost….

    How we suggest you run WOL browsers: 

    • Have a browser solely dedicated to WOL to avoid cluttering with other webpages. Have another browser open for other webpages.

    • Only have tabs open if they are needed

    • When completing a bank reconciliation:

      • First open up a new tab with the trust register

      • If opening up separate tabs for adjustments and/or to view transactions, close the tab once finished to avoid cluttering up the browser.

  5. Know the difference between the browser back button and the Wise Owl Legal back button

    1. The browser back button will take you back to the page you were previously viewing 

    2. The WOL browser button will take you up one level (for example if you are on the create new matters page and hit the WOL back button it will take you to the matters home page)

    3. Using a combination of these back buttons can be useful in navigation around the software

  6. Logout of Wise Owl when you are not at your computer or using the program. 

    • To logout click the logout button in the top right hand corner. Then close ALL tabs and windows in your Wise Owl Browser. 

      Notes on closing browsers:

    • If you only have one browser up and close it, it logs you out (you will need to enter your username and password when you open WOL again)

    • If you have many tabs, you need to close ALL of them for the auto logout to work (not just the Wise Owl ones, the news sites, Facebook, etc.)

    • If you have many browsers (that is, many of the same browser; many Firefoxes for example), you need to close ALL of them for the auto logout (not just the Wise Owl ones, and don’t forget the ones on your other monitor as well)

    • As soon as you hit the logout button, any other Wise Owl tab / browser will auto logout (within about 30 seconds)

    • All the major browsers have a “private window” or “private session” feature (with various brandings). These are, from Wise Owl’s perspective, a totally new and separate browser. So if you logout from your “normal” browser, it does NOT logout from the “private session” and vice-versa. When you check the Tools > Active Users page, you see two Firefox / Chrome / IE browsers listed for that user.

    • When you close a browser (not just the Wise Owl Legal tabs but every single window), it forgets the cookie that lets it log in, so you will have to log in again with your details. However if you did not log out with the red logout button Wise Owl Legal is not notified of this. Wise Owl Legal will have to wait for an hour or two before it expires the login for that user.

  7. Do not use Wise Owl Legal on untrusted computers such as Internet Cafes, friends' computers etc. 

    • Doing so is similar to opening up confidential client files at a public library and spreading all your papers across the desk. Someone is extremely likely to read them, whether out of maliciousness, curiosity or total accident. 

    • Even with the privacy settings turned to maximum, if you open up Wise Owl on a public computer the next person who uses it can load up what you were looking at

    • These sorts of computers are also more likely to have viruses, spyware and other nasties which try to steal information to sell on the black market. 

  8. When reading large reports on screen instead of scrolling, use the space bar to move the page one frame down. To move one frame up, use Shift + Spacebar. Use CTRL + F to find an amount or name within the report.
