Welcome to Wise Owl Legal!

We recommend you read this short tutorial before you get started using the OWL. It outlines the basic functionality of Wise Owl Legal, shows you how to get help and find your data.

Common Functions

Several functions are available on nearly every page in Wise Owl Legal. All but the Launch Pad are located on the top right of every page.

Launch Pad

The Wise Owl Legal Launch Pad shows the matters and documents you are currently working on.     You can access it by clicking on the Wise Owl logo on the top left of your browser.

Help

There are several ways to get help in Wise Owl Legal.     The easiest is the help icon in the top right of every screen.     All screens have an associated page in our help system.     Every field, button and action on every page is described in detail.

In addition to the per-page help, many larger forms and pages have additional links.     These may be per-tab or even per-field in some cases.     They will jump directly to the relevent part of the help system.

You can always access the Wise Owl Legal Help Site directly using the link at the bottom center of every page.    

The help site has sections for:

  • Further assistance for getting started with Wise Owl Legal.

  • Task based assistance (how-to guides).

  • Appliance wide concepts.

  • Definitions and conventions.

In addition to the help site, the Wise Owl Legal Helpdesk is available during business hours to assist you.     You can access this using the envelope icon. image-20240806-063043.png

Important Support incidents for general assistance may incur additional fees and charges depending on your subscription.

Finally, the Wise Owl Legal Community Forums are an excellent way to get answers to a wide variety of questions and problems for no additional charges. However, Wise Owl Legal does not endorse any content there; it is available as is. And the time to get answers depends on current forum activity.


Logoff and Simultaneous Users

Wise Owl Legal is licensed on a per-simultaneous user basis.     This means that when you finish using Wise Owl Legal, you should click on the logout button on top right or other users may be denied access.

Your company has been licensed for 10 simultaneous users.

Each web browser you use to login counts as another user.     So if you have Wise Owl Legal open in Internet Explorer and Firefox, the system counts that as two separate logins.

However, you can have as many tabs open in one browser as you like.     In fact, this is the recommended way to use Wise Owl Legal.

Feedback

At Wise Owl Legal, we set a very high standard.     If you notice something wrong, something which can be improved or you have a brilliant new feature, we would like to hear about it.     The scope of your feedback does not matter, we want to hear about it whether small or large (although it is obviously much easier to fix a spelling mistake than overhaul the entire Matters module).

The Feedback button is available next to the helpdesk button.   image-20240806-063114.png   All subscription levels may make unlimited feedback submissions.

The Community Forums are used to discuss possible future changes and enhancements to Wise Owl Legal. You can check them regularly to voice your support (or disagreement) regarding future enhancements and changes.

Billed Hours

If you use the Time Billing module, you will see a thermometer on every page.     This represents how many hours you have billed today, compared to budget. image-20240806-063202.png

The thermometer starts red each morning and will turn green when you have met your budget.

Simply work and track your billable hours in the time billing module until the thermometer is green, and you know you are meeting your budget!

Handy Tips

While using Wise Owl Legal, we recommend you keep the dashboard open as the central place to monitor your activity.

In addition, we recommend you open a tabs for each matter you are working on, one for tracking your time and one to track personal metrics and graphs.     There is no limit to the number of tabs you can keep open at once; many power users will have over 10!

Keyboard Shotcuts

To ensure efficient data entry, all Wise Owl pages have a variety of keyboard shortcuts.

Modules

Directly below the common functions are all the Wise Owl Legal modules. This is where you will spend most of your time working with Wise Owl Legal.

Depending on your Wise Owl Legal subscription and access rights, some modules listed here may be unavailable or restricted.     From left to right, they are:

 

  • Contacts

  •  Matters 

  • Trust Accounting 

  • Documents 

  • Workflow

  • Time Billing 

  • Accounting and Finance 

  • Reports 

     

Tools and Settings

To the right of the modules is the tools and settings icon. 

The General Tools module contains various system wide functions which are not part of any other module.     They include technical diagnostics, import and export functionality, and audit logs.     (Some of these will only be available to privileged users.)

Appliance wide Settings are only available to administrators, directors and privileged users.     These set Appliance wide policy.

Your initials appear at the far right, highlighted in blue.     They also allow you to access your Own Settings.     We recommend you take a quick look over these now; you can always change them as you work with Wise Owl Legal.

Other Things to Know

Wise Owl Legal is a rich and complex system. There are many other features and options available to you.

Mobile and iPad Access

Wise Owl Legal is usable on mobile devices, iPads, and other computers outside your office.    

Simply visit https://qualitytest.wiseowllegal.com.au/ in a web browser on your device or computer.    

You will be required to enter a special code sent to you via email or on your smart phone when you first use another computer or device. After that, using Wise Owl Legal is just the same as if you were in your office.        

Although it may be slower depending on your network speed and reliability.    

Depending on the size of your device, some functions and menus will appear in different places. But all functions are available on mobile devices.
