Accounting & Finance - Time Billing

The Wise Owl Legal time billing function can be used to record your daily time, measure against your time budget and ensure that all work for the day has been categorised.

The time sheet register can be viewed in either units, hours or minutes.

This can be edited by going to settings > my settings. Do not use appliance settings > time billing, as this only changes the settings for future users. 

The default time units also affects the 'Enter Time Records' screen.

The way the time billing module works differs when entering time for yourself or on behalf of another fee earner. 

Entering time for myself

The default fee earner for a time billing entry is the user who is logged on, if they are a fee earner.

Each individual time record is saved once the green tick at the end of the line appears, indicating that all fields have been filled in correctly.

Once saved the enter time records page can be left and edited at a later point in time. Upon returning to the enter time records page, all the entries that were saved (green tick) for that fee earner will still be there until they are either deleted, by selecting the red cross at the end of the line, or submitted.  

Entering time on behalf of another fee earner

A user can enter time on behalf of another fee earner by selecting that fee earner’s code.

The green tick at the end of the line indicates that the time record has been saved.

Once the Enter Time Records page is refreshed either by selecting the browser refresh button or leaving and reopening the page, only time records relating to the user who is logged in will display. I.e. time records entered on behalf of someone else will no longer display.

However these time entries will now appear on that fee earner’s Enter Time Records Page, once they refresh their page. These entries are now ready for them to review and submit.

Once the time entry is submitted any user, with the associated permissions, will be able to view and edit the time record from the time sheet register, up until the point of invoicing.

A simplified diagram of the movement of time records is seen below:

  1. User A enters time on behalf of user B

  2. User A refreshes their Wise Owl Legal browser

  3. User B then refreshes their Wise Owl Legal browser
