Principals and Wise Owl
This page is written for Principals of Law Firms to assist with business decisions.
Are you concerned about what your team can see?
There are several key points in Wise Owl to assist with managing what your team can and can’t see. If you are concerned or want clarification, please book a meeting with Karen McDonald to discuss your firm’s needs.

User Access
The first is ensuring that they have the correct permissions / role assigned for their user.
We have a detailed write up about each role at Security Rights, Roles and Users
It is recommended that all users have their own individual login for Wise Owl to ensure no cross over of permissions or access. See more about Simultaneous users at Simultaneous Users
Active Users and Monitoring Logins
To see who is currently logged into Wise Owl, you can fiew the Active Users page at https://<yourOwl>.wols.com.au/User/Active Alternatively, go into Settings > Active Users
For more information about Active Users, please seeUser - Active
To view who has logged in when, you will need to use the Audit logs. These are available at https://<YourOWL>.wols.com.au/Audit/Search
Generic information about the audit logs are available at Audit - Search
If you are wanting to search for a particular user’s login history, set the search using the following information
The date range you are concerned for
Only tick the User Login / Logout options
Tick the user that you are interested in
Then search
The search at the bottom will list the date, time and username of logins / logouts and you can click on the record to drill down further.
Time Register
On the time register, we do not have any totals of amounts that fee earners are ‘bringing in’ as we understand that this is not an accurate reflection of the business and it’s costs.
If a user has access to the Invoicing area in Wise Owl, they can see the amounts billed to the clients.
Export of Contacts
Within the user rights, there are permissions to block a user from listing all contacts or all matters.
When these two rights are Denied, it means that the user is unable to show a list of contacts or matters in those modules.
Separately to this, if you don’t want a user to be able to view Contact report lists, please ensure that they do not have the right to View and Save Contact reports under their user.
To adjust User’s roles or rights, see User Roles and Access
Sensitive Matters
We have functionality in Wise Owl to block certain users from accessing Sensitive matters.
By default, only the Principal and Power User roles are able to access Sensitive matters in the system.
To learn more about Sensitive matters, please see the links below.
