Release Notes for Version 3.6.0

Please read the following notes about this Wise Owl release carefully before installing it.

Description

SAI Global Search Manager integration.

New Features

  • Added integration with SAI Global Search Manager for document searches.

    • Can initiate searches into Search Manager based on matter number and category (personal or property searches).

    • Search buttons appear against Matters and Document Register; the same places you can create a New Document From Template.

    • PDF Documents and Disbursements are automatically loaded into Wise Owl from Search Manager.

    • Various settings are located in SAI Global on Appliance Settings page.

  • Added an "ERROR" matter, which automated tasks may allocate items against. Warnings and nag messages appear if anything is allocated to the ERROR matter. 

    • ERROR matter may be edited and is marked as "Open", but is usually dealt with as if it were "Archived"; users can remove items from the ERROR matter, but not assign items to it.

    • The ERROR matter has been introduced to support SAI Global integration.

    Support Two-Factor Authenticator app for Outlook Helper.

  • Added search fields for Matter Open and Closed date under Matter Advanced Search.

  • Added purple highlight of last previewed document on Document Register page.

  • Added Background Job Scheduler Health indicator on Diagnostics page.

  • Added filters for Document Name and Type on Allocate Documents page.

  • Added filter and column for Matter Closed Date on Document Register.

  • Added User bulk activate / deactivate function.

  • Added button on Contact page in Matter table to Create new Matter for the current contact.

  • Increased maximum length of Fixed Fee Notes field to 1000 characters.

  • Added Document Template merge fields for formatted addresses with and without Salutation field.

  • Added a Their Ref field to Document Edit and Register pages, to support SAI Global integration.

  • Allow importing Document Categories and Document Classes from Excel spreadsheets.

Other Changes

  • Improvements to system setting imports to aid automating new databases:

    • Support Default Matter Responsible Lawyer

    • All SAI Global related settings

  • Allow management of the "API Token", used to grant access to Outlook Helper.

  • Preview document email files (msg files) now can display recipient email addresses and show actual emails rather than links.

  • Document upload page shows pop-up message for unknown file types.

  • When uploading document templates, a warning is shown if the Data Source is None, but merge fields are included in the document.

  • Allow any Matter Status on Matter Search tab on Edit Contact page.

  • Added hover text for Name on Allocate Documents page.

  • Added total number of documents uploaded on Upload Documents page.

  • Allow changing database timeouts via config file; to improve support for invoices with more than 100 lines.

  • Update to version 4.7 of .NET framework to support latest server features.

  • Update 3rd party components to current version.

  • Update Crystal Reports to current version.

  • Added link to Outlook Helper on My Settings page, under the API Token section.

  • Added Search button to Documents tab of Matter Edit page.

  • Changed new Contact to no longer assume contacts are Australian citizens by default.

  • Added Matter details (number and primary client name) to QuickBooks Online disbursement description.

  • Improvements to deployment automation scripts.

  • Add warnings to Document pages if a document containing a "%" symbol is uploaded; this can cause problems with Windows Explorer.

  • Add warnings to Document pages if a document name is too long.

  • Improvements to Allocate Documents error messages.

  • Matter searches now check if the matter number contains any part of the search query. Eg: searching for "1000" would have previously not found matter number "14-1000", but now does.

  • Improve wording on Document Create from Template page pinned fields.

  • Added separate "Edit Report Logo" right.

  • On New Invoice page, the Previous Invoice search drop down only includes invoices for the matter chosen.

  • Removed Trust Special Deposit account on new databases. Account is now added as part of on-boarding process, if required, based on your firm's jurisdiction.

  • Improvements to auto fill details down the page when entering Trust Payments and Receipts, in particular when not tabbing through fields from top to bottom.

  • Changed Saved Searches for all register pages to be reset on login; was previously reset overnight.

  • Changed maths calculations in financial fields to be triggered whenever numeric; previously required starting with + or =.

  • Changed Allocate Documents, Time and Recovery bulk data entry fields to auto save after 2 seconds; to reduce the chance of "unsaved changes" message.

  • Added pre-fill data, warnings and validation messages to External Code and Account Code fields for Invoice and Purchase Items. To reduce the chance of incorrect data entry.

  • Removed list of Countries and Jurisdictions pre-populated in new databases. These are now added as part of on-boarding process based on your firm's requirements.

  • Increased size of Fixed Fee, Recoveries and Timesheet notes fields.

  • Added warnings agaisnt an invoice if you change Matter or Contact after an invoice is marked as Approved.

  • Added warnings against an invoice if the Matter and Contact are not related.

  • Adding initial support for re-branding a database for SAI Global.

  • When saving all attachments for a document, the Keywords field is also copied.

Reports

  • Added SystemSettingDump stored procedure for list of all System Settings (from Appliance and Site Settings pages).

  • Added Is Billable Matter parameter to WIP Summary and Detail stored procedures.

  • Added date range parameters to Open Invoice stored procedure.

  • Added Matter Branch field to all relevent reports.

  • Added new ActionItem query. To support a report showing a list of action items across your Wise Owl database.

  • Added Work Email, Phone and Fax fields to ClientAndMattersList query.

Bugs Fixed

  • Fixed can set Default Trust Payment Type to EFT when electronic trust payments are disallowed.

  • Removed incorrect "$" prefix on Rate Code field on Timesheet Edit page.

  • Fix allowing users to Create a Document From Template when no template or no matter was entered.

  • Fix showing warning level entries on the Finance Previous Activity list when only Successful tick box is checked.

  • Fixed closed Matters can show in some document pages (eg: Allocate, Edit, Upload).

  • Fixed showing inactive users on Create Matter page.

  • Fixed QuickBooks Online sets records as error when a query / delete action fails.

  • Fixed Document Template Select Fields page automatically adds fields which cannot have a value.

  • Fixed rounding errors can cause incorrect validation message to appear when creating a new Adjustment Note.

  • Fixed unusual case where Trust Bank Rec balance is shown as negative zero.

  • Fixed accounting system "Post Up To" setting for Spend Money / Bills not working.

  • Fixed bank accounts not listed on Receipt Register Account drop down.

  • Fixed Trust Signatory validation message is sometimes shown incorrectly.

  • Fixed Trust Matter Transfer Overdraw detection to take transaction date into account - back dated transfers are now correctly validated.

  • Fixed some databases could not edit Pause External Accounting appliance setting.

  • Fixed selecting random matters on Document Template Select Fields page will only include matters from the nominated doc group.

  • Fixed New Invoice button on read-only invoices to be consistent with the Finance page button.

  • Fixed Document Preview of Word docs having too much blank space between paragraphs.

  • Fixed Allocate Documents bug which did not update filename / location changes if other errors occurred.

  • Fixed Trust Bank Adjustment fields can be remembered after cancelling or saving; fields are now reset on cancel.

  • Fixed two-factor authenticator app did not work correctly when user logging in from a different time zone.

  • Fixed archived matters sorting to top of Matter drop down lists.

  • Fixed Invoice Terms required on Appliance Settings page for brand new databases, when no Terms are listed.

  • Fixed data errors against particular custom fields can cause error page on Settlement Calculator.

  • Fixed custom fields can assign a Data List to controls which do not support Data Lists (only Dropdown, Typeahead and Radio Buttons are allowed).

  • Improvements to fix some Wise Owl databases cannot save a Matter due to blank Trust Transaction Search fields. Appears to be bug in 3rd party component.

  • Fixed 1 cent rounding errors in QuickBooks Online Invoices due to slightly different GST calculations.

  • Fixed Pay Later Disbursements incorrectly including additional GST amount and using single item amount rather than total (that is, ignoring Quantity).

  • Fixed some long running database actions can fail (usually involving cleaning up old data / log records).

  • Fixed generated passwords do not conform to password requirements, as specified in Appliance Settings.

  • Fixed Time / Fixed Fees / Recoveries Edit pages correctly save Notes field.

  • Fixed updating Matter Type or Is Billable fields would not automatically reload the Matter cache on browsers.

  • Fixed Document preview function on Matter page was broken.

  • Improve error handling if invalid custom field data is encountered. This can only happen if a custom field definition is changed from Text to Numeric / Amount.
